Financial statements with Breek.gr 2.1 - The Ledger Update

After the recent upgrade of Breek.gr to version 2.0 and as a further improvement of the web application based on discussions with our platform’s members, version 2.1 is now available. And its name is: “The Ledger Update “.

Version 2.1 of Breek.gr offers 3 new features:

  1. Analysis of financial statements for real estate properties, leases/concessions and tasks.
  2. Improved free-text search of financial transactions within their structured data.
  3. Automatic calculation of financial result on the Finances list.

Analysis of financial statements

The new ledger functionality extends the existing listing and filtering of financial transactions with a user interface familiar from any e-banking system, but at the same time even more user-friendly than the e-banking system of the bank you use. The ledger is accessible only to property managers and owners from the “View related → Financials” option of each property, lease/concession and task options menu:

On this page Breek.gr displays a list of financial transactions related to this record, with the possibility of filtering. The available filters in this version are:

  • Presets (last 10 transactions, current month, last 30/60/90 days, current year, all transactions)
  • By month and by year, with the possibility to page-flip to previous/next periods.
  • Custom period, with a minimum or maximum date, or a combination of both.

The same applies not only to each property, but also to each lease/concession and task.

Full-text search within finances, and result calculation

Our goal is to free you from using Excel with many different files that you would need to combine by hand–especially since property management requires searching data with a lot of associations and a high degree of detail in each record. This makes spreadsheet management prohibitively complicated and error-prone, even for relatively small portfolios of properties under management!

Thus, in the Finances view it is now possible to search for financial transactions based on free text in fields beyond the transaction title. The search is now also applied to the structured data (payment method, amount, date, type, notes and future category/subcategory) of each transaction, so you can quickly find what you are looking for.

You don’t even need to change your keyboard language to Greek; you might as well start typing in “Greeklish”. Also, version 2.1 of Breek.gr now does something very simple but also useful: it automatically displays the totals of income and expenses, as well as the financial result of the displayed transactions. Obviously, you can still apply the side-filters for time period, task, tenancy/concession, and/or property.

For example, you can search for financial transactions paid in cash (search with the text “cash”) within the last 12 months:

Or something simpler, searching within the title: e.g., find all transactions with a title related to communal/shared expenses (search with the partial text “koino” in Greeklish):

Via the icon next to the relevant record (RELATED TO column of the table) you have direct access to the financial statement analysis of that record.

Upcoming upgrades

Obviously, we won’t stop here; based on our discussions with platform members we already have new functionality and improvements in the works. Thus, in the next upgrade of Breek.gr, the financial transaction management will be extended with the following new functionalities, which are already under implementation:

  • Categorization of transactions corresponding to the existing categorization of tasks (type of work and specialization) with the possibility of applying corresponding filters.
  • Transaction grouping and further filtering by property, building/complex, transaction category/subcategory, owner, tenant and/or manager at the property portfolio level.
  • Display of graphs on the ledger to make it even easier to analyse income and expenses by category.
  • Export of financial statements in PDF format, optionally with the property manager’s company logo displayed, to showcase your brand towards owners/investors.
  • Automatic recording of changes to the details of each transaction, for improved traceability.

Also, free text search will be extended to all records on Breek.gr. You will soon be able to search e.g. with the text “air conditioning” in the list of Properties and find all properties with this registered heating method or an air conditioner in the inventory list of equipment and items of the property.

Apart from these upcoming features, we are in the planning phase for new functionalities of Breek.gr based on our discussions with members of the platform who are active in the development/construction/renovation of real estate, such as:

  • Grouping of tasks into projects, so that you can check the progress of groups of tasks (e.g., renovations) and make it available to owners/investors (see also our recent article ) at any time.
  • Automatic generation and sending of aggregated updates with rich text based on the events of the last few days using LLM models (such as ChatGPT).
  • Improvements to the Dashboard page to make Breek.gr your “second brain” and provide suggestions for outstanding issues beyond leases/concessions and tasks, such as reminding you incomplete property documentation, pending invitations from users, owners and tenants, and so on.

These are just a few of the upcoming improvements and upgrades until the “Real Estate Expo Greece” exhibition, which our team will be participating in for the first time.
